Bhutan Tropical Tours & Travel – Travel Policies
At Bhutan Tropical Tours & Travel, we strive to provide a seamless, safe, and memorable travel experience. Please read the following policies carefully to ensure a smooth journey.

  1. Booking & Confirmation
    Your booking is confirmed only after receiving the required deposit/payment.
    Confirmation will be sent via email or WhatsApp, along with your itinerary and travel documents.
    Any changes requested after confirmation are subject to availability and applicable charges.
  2. Payment Policy
    Deposit: 20–30% of total tour cost to secure your booking.
    Full Payment: Required 15–30 days prior to departure (depending on the tour).
    Modes of Payment: Bank transfer, UPI, credit/debit cards, or digital wallets.
    Tour prices may change until full payment is received.
  3. Cancellation & Refund Policy
    More than 30 days before travel: Full refund minus 10% administrative fee.
    15–30 days before travel: 50% of the total tour cost will be refunded.
    7–14 days before travel: 25% of the total tour cost will be refunded.
    Within 7 days of travel / No-show: No refund. Note: Refunds will be processed via the original payment method within 7–14 business days. Non-refundable items include flight tickets, permits, and third-party services.
  4. Amendment & Rescheduling
    Changes in travel dates or itineraries are subject to availability and may incur additional charges.
    Requests within 7 days of travel are treated as cancellations.
  5. Travel Insurance
    Strongly recommended for all travelers to cover unforeseen events such as cancellations, medical emergencies, or trip interruptions.
    Bhutan Tropical Tours & Travel is not responsible for expenses covered by insurance.
  6. Visa, Permit & Documentation
    Travelers are responsible for valid passports, visas, and permits.
    Assistance will be provided for Bhutan entry permits, tourist visas, and special permits.
    Permit and visa fees are non-refundable once issued.
  7. Flights & Transport
    Bhutan Tropical Tours & Travel may arrange flights, private vehicles, buses, or taxis.
    Flight changes/cancellations are subject to airline policies.
    Guests must follow luggage limits, vehicle safety instructions, and local traffic regulations.
  8. Accommodation
    Hotels, resorts, and homestays are booked according to the agreed category.
    Room upgrades, special requests, or additional nights may incur extra charges.
    The company is not liable for third-party accommodation issues.
  9. Safety & Liability
    Guests must comply with local laws, customs, and guide instructions.
    The company is not liable for accidents, injuries, or illnesses during travel.
    Adventure activities carry inherent risks; participants may need to sign waivers.
  10. Force Majeure
    Tours may be altered or canceled due to natural disasters, political unrest, strikes, pandemics, or government restrictions.
    Guests will be offered refunds or alternative travel arrangements whenever possible.
  11. Code of Conduct
    Guests must respect staff, fellow travelers, local communities, and wildlife.
    Misconduct may result in removal from the tour without refund.
  12. Privacy & Data Protection
    Personal information is used only for travel arrangements and legal requirements.
    Data will not be shared with third parties except as required for permits, flights, or accommodations.
  13. Complaints & Dispute Resolution
    Complaints should be reported immediately to the tour manager or Bhutan Tropical Tours & Travel.
    We will work to resolve issues amicably. The company reserves the right to make final decisions in accordance with these policies.

Comprehensive Tour Package Costs

Bhutan Tropical Tours and Travel offers a variety of package costs that can fluctuate significantly based on factors such as tour duration, accommodation type, and additional services. For an exact price tailored to your needs, please reach out to us directly.

Please note that the Sustainable Development Fee (SDF) and Visa fees are additional charges.

Formula for calculating the total tour cost: Tour package cost + Visa/permit fee + Optional flight tickets.

Visa / Permit Fee (One-Time Charge)

Visa/Permit Fee: $40 per person. No visa is required, free travel permit is available.

Inclusions:

  • English-speaking guide
  • Sustainable Development Fee (SDF)
  • All meals (breakfast, lunch, dinner)
  • Accommodation in 3-star hotels (double/twin sharing basis)
  • Entrance fees
  • Transportation in a comfortable vehicle with a driver

During Trekking:

  • Accommodation in tents
  • Services of cook and helper staff
  • Dining tent with chairs, tables, plates, and cutlery
  • Luggage hauling on mules/yaks

Exclusions:

  • Bhutan visa: $40
  • International flight tickets
  • Drinks other than tea and coffee
  • Tips, personal expenses, and other unexpected expenses
  • Bank transfer fees or card payment fees

Complimentary from Bhutan Tropical Tours and Travel:

  • Map of Bhutan upon arrival
  • Bottled water provided in the vehicle
  • Local SIM card with balance for data and calls
  • Bhutan visit certificate to remember the tour

Single Room Supplement:

Odd participants need to pay extra for single room arrangements.

Visa/Permit Application & Issuing Process:

To issue a visa/permit, we require advance payment. Payments should be made at least 7 days before the trip to ensure all formalities are arranged smoothly. You need to provide us with a scan of the passport data page or voter’s card (for Indian citizens) and a passport-sized photograph. The passport must be valid for at least 6 months after the planned arrival date.

Once the visa/permit is granted, we will send you the official Visa/Permit clearance, which you will need to present while checking into the Bhutan-bound flight or at the land border.

In addition to the SDF, tourists must pay for services that might include lodging, transportation, guide, entry fees, meals, etc.
